Profile

Beveridge & Diamond seeks an AR and Collections Coordinator to join our Accounting team. This position reports to the Chief Financial Officer and Billing Supervisor.

Essential Duties and Responsibilities

Post cash receipts daily.

Investigate client short-pays and work with the Billers, Billing Attorneys, and clients to resolve.

Investigate client overpayments and make recommendations on how to proceed.

Summarize daily and weekly cash receipts, and email to Shareholders.

Run, review and distribute mid-month accounts receivable reports.

Run and distribute monthly Reminder Statements.

Identify invoices over 90 days old. Alert CFO, Billers, and/or Billing Attorneys of these outstanding amounts. Follow-up with clients, as appropriate.

Maintain collection files and tickler system for follow-up on outstanding balances.

Create pdfs and file client invoices in the document management system.

Reconcile pre-billed disbursements and notify A/P when checks are needed.

Run missing time reports and reconcile time entries at month end.

Prepare monthly and year-to-date firm utilization reports.

Run and distribute attorney workload reports.

Enter subtenants disbursements.

Follow firm billing policies and procedures (i.e. firm write-off policies).

Assist with implementation of the new billing system and software, including the design and implementation of the collections workflow.

Effectively interact and communicate with attorneys, staff, and clients.

Ensure strict confidentiality at all times.

Assist with special projects as requested.

Knowledge, Skills, and Abilities Required

College (bachelor’s) degree preferred.

At least three years’ prior hands-on billing experience in a law firm.

Experience using Elite or CMS/Aderant, preferred.

Proficiency with MS Office, particularly MS Excel.

Strong attention to detail.

Ability to multi-task, prioritize, organize workflow and use time efficiently.

Perform at a high level in a fast-paced environment.

Adapt to ever-changing work priorities.

Ability to follow through on tasks with minimal supervision and follow-up on own initiative.

Flexibility to adapt to differing work hours when overtime is needed to meet client requests.

Excellent communication (oral and written), analytic and problem-solving skills.
