CFO & COO (Full - Time, Regular)

As CFO & COO of the San Diego Natural History Museum, you will lead finance, operations, and administrative departments for one of San Diego’s most popular and beloved museums. Overseeing building facilities, accounting, HR, IT/AV, retail, and food and beverage, the CFO & COO heads up a dynamic and talented team. If you love a diverse portfolio this is an ideal position.

You will be joining a convivial and dedicated team, and will help shape strategic direction, growth, and financial stability of the Museum. We seek a candidate with exceptional inter-personal skills and a collaborative management style that will facilitate interactions with colleagues and external entities. As a member of executive management team, you will report directly to the President and CEO, and work directly with the Board of Directors, including the Finance, Audit and Investment Committees.

A successful candidate will have both a strategic and hands-on approach to finance, accounting, and operations, be adept at analysis, business planning, forecasting, and be committed to the Museum’s mission. 

Responsibilities Include:

Finance

Oversee cash flow planning and ensure availability of funds as needed.

Oversee cash, investment, and asset management.

Oversee financing strategies and activities, as well as banking relationships.

Develop and utilize forward-looking, financial analyses to provide insight into the organization’s operations and business plans.

Planning, Policy and Donor Relations

Coordinate the development and monitoring of budgets.

Develop financial business plans and forecasts.

Participate in corporate policy development as a member of the senior management team.

Engage the finance committee of the board of directors to develop short-, medium-, and long-term financial plans and projections.

Represent the company to financial partners, including financial institutions, donors, foundation executives, auditors, public officials, etc.

Remain up to date on nonprofit audit best practices and state and federal law regarding nonprofit operations.

Accounting and Administration

Oversee the accounting department to ensure proper maintenance of all accounting systems and function; the Museum’s finance staff.

Ensure maintenance of appropriate internal controls and financial procedures.

Ensure timeliness, accuracy, and usefulness of financial and management reporting for federal and state funders, foundations and the Museum’s board of directors; oversee the preparation and communication of monthly and annual financial statements.

Ensure timely and accurate accounts receivable transactions for museum business ventures.

Coordinate audits and proper filing of tax returns.

Ensure legal and regulatory compliance regarding all financial functions.

Ensure excellent customer service and strong communication between accounting, staff, vendors and clients

Building Operations and Support Functions

Oversee the operations of building support staff and security functions to ensure safety and comfort of visitors, employees and collections.

Oversee capital improvement projects and prepare capital budgets.

Pursue energy savings projects where applicable to Museum operations

Oversee operation of information technology function and develop priorities regarding investments in IT infrastructure and cybersecurity

Oversee Museum’s human relations function to ensure compliance with Museum’s employee manual and all state and federal employment laws.

Manage the Museum’s insurance and legal needs.

Management

Participate in museum management and supervises, coach and mentor staff to achieve departmental and museum success

Work effectively with peers on Executive Management team to anticipate and solve problems, and create sound Museum policies

Actively communicate with staff inside and outside division to ensure that they have the tools, training and direction needed to be effective in their jobs. Provide feedback, and model respectful and collegial behavior.

Qualifications 

Demonstrated experience in financial management and accounting 

Demonstrated experience with audit, legal compliance, and budget development

Director of Café and Retail Operations (Full – Time, Regular)

Role Summary/Objectives:

The primary role is to create the overall vision for the café and retail operations that enhances the visitor experience. The Director is responsible for leading the department to achieve revenue goals, and provide an outstanding experience for all visitors through creative, mission-related products, merchandising, menu options, and customer service.  This position ensures the shop and cafe are an integral part of the experience of all visitors. In addition, this position oversees the liquor license and beverage needs for special events. This full-time, exempt position reports to the CFO/COO and has a varied schedule that includes weekend and/or evening hours. 

Roles and responsibilities:

Directs the general vision, operations, and management of the food, beverage, and retail services (including e-commerce) department.

Responsible for ensuring the café and shop is on brand, reaches a broad audience, and reflect the Museum’s mission and strategic goals;

Creates the overall vision for the café and shop that enhances the visitor experiences and ensures it is an integral part of the experience for all guests.

Recruits, mentors, trains, develops and successfully manages a team to achieve the strategic objectives and the present and future needs of the department

Oversight of the annual department planning and in creation and management of annual operating plans and budget.

Analyzes financial data and develops strategies around pricing, merchandising, and promotions.

Manages the point-of-sale system; runs reports and reconciles with accounting.

Oversees inventory control and calculation for monthly analysis and reconciliation.

Directs ordering quantities and timing, receiving, invoice settlement and accuracy.

Manages food, beverage, merchandise, and labor costs. Monitors market conditions that impact menu and merchandise offerings, business volume, and profitability.

Oversees the creation of menus to entice a variety of audiences including café patrons and internal private events while incorporating a pricing structure that will support the bottom-line goals.

Works closely with the communications department to develop products and identify marketing opportunities to promote food, beverage, and retail products.

Coordinate with other departments on the retail display and merchandise and how it connects to the current exhibitions.  

Trains bartenders and works closely with the special events department to oversee beverage service and inventory.

Develops beverage menus and pricing in coordination with the special events department.

Ensures compliance for the safe and legal service of alcoholic beverages.

Works with local and state inspectors (e.g., Department of Environmental Health and ABC) to ensure all food safety measures are met. Ensures all staff are in compliance with all health, safety, and training regulations.

Creates and implements all policies and procedures for the department including compliance of organizational standards relating to the quality of products and services.

Keeps all public and storages areas clean and organized.

Monitors all equipment to ensure all items are in working order for all functions.

Primary duty is management and leadership, however, may be required to fill in to relieve/back-up staff during peak periods or when short-staffed.

Maintains knowledge of other museums and industry trends.

Qualifications and Requirements:

Bachelor’s degree in food service/hospitality management preferred.

A minimum of 5 years of progressive responsibility in the food and beverage industry is required.

Advanced knowledge required of wines, distilled spirits, malted beverages, and service skills for high-quality beverage service, modern buffet and reception setup, flow management, replenishment techniques, and aesthetically pleasing presentation.

Certification in safe alcohol service or TIPS preferred.

Experience in resolving customer issues/complaints as well as overall excellent customer service required.

Proficient in computer software including Microsoft Word and Excel.

Proven ability to effectively build and foster a team environment.

Ability to make decisions in a fast-paced environment.

Must be of legal age to service alcoholic beverages.

Ability to effectively communicate verbally and non-verbally with others.

Ability to work with all personality types even in adverse situations.

Facilities Associate (Full - Time, Regular)

The San Diego Natural History Museum is seeking a reliable, attentive, detail-oriented Facilities Associate to assist with daily operations and the security and care of the facility. The ideal candidate will be comfortable with a wide range of responsibilities and tasks, has excellent communication skills, and possesses good judgement.

Areas of responsibilities include:

Building walk-throughs checking that areas are secure and building systems are functioning properly (HVAC, water pumps, elevators/lifts, generator, fire suppression systems, pest control, elevators/lifts).

Reception of all contractors for scheduled work or emergency repairs – Providing access, directing to work area, communicating the issue and what is needed, following up with the Facilities Manager on results or additional needs.

Receiving, logging and distributing Museum deliveries.

Ensuring trash/recycling and paper shredding bins are available and ready for pick-up.

Checking for fire hazards (fire extinguisher checks, kitchen equipment, heaters, pilot lights).

Museum vehicle check-out and parking reservations.

Assisting with access card creation and key distribution.

Security camera monitoring and safety/security patrols, including escorts for staff working with cash.

Responding to emergency situations within and directly outside of the Museum (fire alarms, medical emergencies, natural disasters, etc.).

Table and chair set-up/tear-down for Museum events and programs.

Assist with security functions such as crowd control and ID checks for 21 events.

Assist with building maintenance projects as needed.

Other duties as assigned.

Qualifications and requirements:

Staff Accountant II (Full - Time, Regular)

ORGANIZATIONAL BACKGROUND

The San Diego Society of Natural History was founded in 1874 by a handful of citizen-naturalists and is the oldest scientific institution in southern California, and the third oldest west of the Mississippi.

The Mission of the San Diego Natural History Museum is to interpret the natural world through research, education and exhibits; to promote understanding of the evolution and diversity of southern California and the peninsula of Baja California; and to inspire in all a respect for nature and the environment.

The Museum has a collection of more than 8 million research specimens and conducts research in the areas of paleontology, entomology, herpetology, ornithology, mammalogy and botany. We provide educational opportunities to over 100,000 children each year and close to 400,000 people visit our exhibitions each year. The Museum operates an onsite gift shop and a café offering bar services, and also has over 700 active volunteers who serve in our research and education programs.

The Museum is located in historic Balboa Park and houses over 8500 square feet of exhibition space and a 300-seat giant-screen theater.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Under the supervision of the Controller, the accountant maintains financial reports, records, and general ledgers. This position also researches accounting variances, ensures compliance with accounting procedures, and helps to create efficiencies within the accounting department.

GENERAL RESPONSIBILITIES:

Prepare, post, and reconcile general ledger journal entries

Responsible for analyzing transactions, explaining variances, preparing schedules, completing reconciliations, and providing support for annual financial audit, 990 filings, and budgets

Responsible for preparing quarterly sales tax filings, maintaining food and beverage inventory accounts, and reconciling to admissions and food and beverage point of sale systems

Assist with Accounts Receivables, Accounts Payables, Cash Deposits, and Payroll Processing

Assist in monthly financial report preparation for museum managers and work with managers on budgeting and cost management

Assist Controller with daily, monthly, and year-end operations of the accounting department and provide accounting support for other job duties as assigned

CANDIDATE PROFILE:

Bachelor Degree in accounting from four-year College or University

Minimum of five years of related experience

Previous nonprofit experience preferred

Knowledge of Sage Intacct a distinguishing factor

Knowledge of Altru Ticketing/Membership system and Square POS systems a plus

Strong general ledger and fund accounting experience, with excellent knowledge of Generally Accepted Accounting Procedures (GAAP)

Superior attention to detail and ability to insure compliance with internal policies and procedures

Advanced fluency with Microsoft Excel and other analytical tools

Strong written and oral communication skills
