Accounting Assistant - Division of Operations','2011696','!*!Job SummaryThe Division of Operations owns the university’s work in key areas of human, physical, and technological infrastructure and services, including: Campus Design and Facility Development, Computing Services, Facilities Management and Campus Services, Human Resources, Enterprise Risk Management, Office of Title IX Initiatives and University Police. Comprised of professional and service departments that work collaboratively to serve students, faculty, and staff, we promote a dynamic living-learning environment that supports and complements Carnegie Mellon’s academic mission and vision for campus life.The department of finance within the Division of Operations is searching for an Accounting Assistant. This is an excellent opportunity if you thrive in an interesting and challenging work environment. In this role, you will act as a lead in answering questions for the division, process and review transactions for accuracy, and work with the financial analysts on various reports, journal entries, and reconciliations.Core responsibilities will include:Assist departments and/or vendors concerning accounting/billing transactions to include researching invoices, requesting additional information and checking for proper authorizations, etc.Advise departments on purchases and travel, and related policies and procedures. Ensure university contract requirements are in place for all purchases. Assist with departmental purchasing to include determining method of purchase, processing purchase orders, investigating and solving order problems and authorizing payment of all invoices. Maintain and track PO expenditures.Facilitate business travel by coordinating with the traveler as well as all relevant internal departments and external agencies to facilitate and track all travel arrangements and associated expenses. Responsible for file/document management.Process expense reimbursements, receive on purchases, and validate purchases via Procurement Card and Travel Card. Position will be a buyer of CMU with Procurement Card/Travel Card responsibilities.Process quarterly and monthly journal entries and account reconciliation.Responsible for running monthly reports for financial analysts and process benefit forms on a weekly basis.Flexibility, excellence, and passion are vital qualities within the Division of Operations.
